Job Description
As our Recruiting & Administrative Assistant, you will be contribute to the overall office efficiency of Circuit Board Medics as a whole and be responsible for day-to-day support of all recruiting efforts. A great candidate will be highly organized, possess strong attention to detail, have excellent critical thinking skills, display tenacity to see things through to completion, and passion to exceed expectations in supporting our internal customers (employees and guests).
Recruiting responsibilities include:
- Review and evaluate incoming employment applications in a timely manner
- Communicate with candidates via phone, email, and text
- Set up interviews promptly
- Post and manage job openings within the applicant tracking system to maintain a consistent candidate pipeline
- Assist with new hire onboarding processes
- Schedule and track completion of new hire shadowing
- Manage inventory and distribution of company branded apparel
- Compile and organize data, as requested
- Prepare for and represent the company at career fairs and maintain relationships with college partners
General Office Support responsibilities include:
- Maintain organization and inventory of office, breakroom, first aid, and printer supplies
- Purchase and stock healthy snacks on a weekly basis at a local grocery store
- Replenish on-site vending machine as needed (often daily)
- Assist with company calendar management using Google calendar
- Arrange catering for lunches and overtime crews, as requested
- Assist with details of employee appreciation event planning, both on-site and off-site
- Set up meetings, arrange for room usage, welcome external guests who use our facilities
- Coordinate travel arrangements for trade shows, as requested
- Serve as a back-up for all Trade Show coordination tasks and help with Trade Show readiness
- General office support, as needed
Qualifications and Skills
- 2+ years of administrative or general office support experience
- Strong time management and organizational skills
- Excellent interpersonal and relationship-building abilities
- Proficiency with desktop computer systems
- Clear and concise communicator, both written and oral
- Eagerness to learn and understand how individual tasks impact the broader organization
- Strong attention to detail with the ability to manage multiple priorities
- Critical thinker and logical problem solver
- Ability to multitask and adapt in a fast-paced environment
- Demonstrates a sense of urgency and accountability in completing tasks
- Typing speed of 45+ WPM
